01 Who we are

The Anna Paulina Foundation is a private foundation based in Flint, Michigan, established in 1961. We make grants to 501(c)(3) public charities across Michigan, with a particular focus on the greater Flint community.

02 Information we collect

We collect information in three ways: what you submit through our grant application, what you send through our contact form, and basic technical information collected automatically when you visit.

Grant application information

Our online application asks for information about your organization and your proposal. This includes:

  • About your organization — legal name, administrative address, main office phone, mission and background, and current operating budget
  • About your main contact — name, email address, and phone number for the person who will receive correspondence about the proposal
  • About your proposal — project type and funding area, project name, amount requested, preferred payment timing, and written responses describing the need, objectives, expected outcomes, beneficiaries, and evaluation plan
  • Supporting documents you upload — project budget, work plan, IRS 501(c)(3) determination letter, most recent certified financial audit or Form 990, and optionally a cover letter, annual report, and additional supplemental materials

Some of these documents may contain personal information about people other than you — for example, staff or board members named in an annual report or audit. Please send only what is necessary to support your request, and consider removing personal details that aren't relevant to our review.

Contact form information

If you write to us through our contact form, we collect your name, email address, subject line, and the content of your message.

Information collected automatically

Like most websites, our site records basic technical information when you visit, which may include your IP address, browser type and version, device type, the pages you view, and the site you came from. Our application form also uses a simple arithmetic question to reduce automated spam submissions.

03 How we use your information

We use the information you provide to:

  • Review, evaluate, and make decisions about grant applications
  • Contact you with questions, requests for clarification, or decisions about your proposal
  • Respond to enquiries sent through our contact form
  • Administer and report on grants we award, including any reporting required by the IRS
  • Keep records of our grantmaking history and meet our legal and tax obligations as a private foundation
  • Maintain the security and proper functioning of our website

We do not sell, rent, or trade your information. We do not use it for advertising, and we do not share it with third parties for their own marketing purposes.

04 How we store and protect your information

Applications submitted through our website are transmitted over an encrypted connection and stored in our website's database on our hosting provider's servers, located in the United States. Documents you upload are stored alongside your application. Copies of submissions may also be delivered to Foundation staff by email.

We restrict access to application materials to Foundation staff, trustees, and reviewers who need it to evaluate proposals and administer grants. We maintain administrative and technical safeguards appropriate to the sensitivity of the information we hold, including access controls on our website and restricted permissions on stored files.

No method of transmission or storage is completely secure. While we take reasonable steps to protect the information you send us, we cannot guarantee absolute security. If you have documents you consider especially sensitive, please contact us before submitting them and we will discuss alternative arrangements.

05 Who we share information with

We share information outside the Foundation only in limited circumstances:

  • Service providers — our website host, form software, and email provider process information on our behalf in order to operate the site and deliver submissions to us. They are not permitted to use it for their own purposes.
  • Outside reviewers and advisors — we may occasionally ask a subject-matter advisor, accountant, or legal counsel to review an application or grant, subject to confidentiality expectations.
  • Legal and regulatory requirements — we may disclose information where required by law, including information about grants we award that must be reported on our annual IRS Form 990-PF, which is a public document.

Grants we award are reported publicly on our Form 990-PF, which typically includes the name and address of the recipient organization and the amount and purpose of the grant. Your application narrative and supporting documents are not published.

06 How long we keep it

We keep grant applications and supporting documents for as long as needed to review them, administer any resulting grant, and meet our recordkeeping, tax, and audit obligations. Records relating to awarded grants are generally retained longer than those for declined applications, because we are required to document our grantmaking.

Contact form messages are kept for as long as needed to handle your enquiry and maintain a reasonable record of our correspondence. When information is no longer needed, we delete it or remove identifying details.

07 Cookies and tracking

Our website uses cookies only where they are needed for the site to work properly — for example, to keep your place as you move through the multi-step application form so your answers aren't lost, and to allow Foundation staff to log in and manage the site.

We do not use cookies to build advertising profiles, and we do not permit third-party advertising networks to track you on our site. Most browsers let you refuse or delete cookies through their settings, though blocking them may prevent the application form from working correctly.

08 Your choices and rights

You can contact us at any time to:

  • Ask what information we hold about you or your organization
  • Correct information that is inaccurate or out of date
  • Ask us to delete information we no longer need to keep
  • Withdraw an application you have submitted

We will respond to reasonable requests, though we may need to keep certain records to meet legal, tax, or audit requirements. Depending on where you live, you may have additional rights under applicable privacy laws.

Our site links to documents and websites operated by others, including grant application forms published by the Council of Michigan Foundations. We are not responsible for the privacy practices of those sites, and we encourage you to read their policies before submitting information to them.

10 Children's privacy

Our website is intended for representatives of nonprofit organizations and is not directed to children. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

11 Changes to this policy

We may update this policy from time to time to reflect changes to our website, our application process, or applicable law. The date at the top of this page shows when it was last revised. Material changes will be reflected here, and we encourage you to review this page before submitting an application.
